STEP 01 OF 03

Who is this document for?

The employer and employee details exactly as they appear in your payroll records.

Use an internal reference, not a Social Security or National Insurance number. Only the last four characters appear in preview.

Use details you are authorised to prepare payroll for. PAYE, National Insurance and pension calculations are unavailable — enter prepared payroll amounts.

Closing this page clears unsaved changes. Save your draft before leaving.

HOW IT WORKS

Three steps, a few minutes

It takes a few minutes with your payroll record open. You’ll copy figures from it, not work them out.

Making a US pay stub instead?

    Who is paid

Employer name and address, the employee’s name, and the tax period and pay date.

  2. 2

    What they were paid

Salary or hours and rate, extra earnings, and each deduction. Totals, net pay and year to date update as you type.

  3. 3

Check it and choose a layout

Review every figure against your record, pick one of six layouts, and confirm the details are accurate.

WHAT’S ON IT

What goes on a payslip

Every PayDocs payslip has the same six parts, in the order a reader looks for them.

Sample with fictional figures
Employer and employee
The business paying, the person being paid, and an optional payroll or works number.
Tax period and pay date
The period the pay covers and the date it was paid.
Gross pay
Salary for the period, or hours × rate, plus overtime, bonus or other earnings lines.
Deductions
PAYE income tax, National Insurance, pension contributions and anything else deducted, copied from your payroll record.
Net pay
Take-home pay: gross pay minus deductions, plus any expenses reimbursed.
Year-to-date totals
Running totals for the tax year, carried from the figures you enter.

PayDocs doesn't calculate PAYE, National Insurance or pension contributions. You enter the amounts from your own payroll record, and the arithmetic (totals, net pay, year to date) is done for you.

WHO IT’S FOR

Made for people who pay people

For payroll you run yourself, without a payroll subscription just to hand someone a payslip.

PAYDOCS OR PAYROLL SOFTWARE

When you need the document, not the whole payroll

Full payroll software does more, and costs more. If your pay is already worked out, you may only need the document.

QUESTIONS

Payslip generator: common questions

Help centre
How do I make a payslip?

Enter the employer and employee details, the pay period, then the earnings and deductions from your payroll record. The payslip builds in the preview as you type. Pick one of six layouts and review it before you finish.

Is the payslip generator free?

Creating and previewing a payslip is free. Paid downloads of the final PDF are not available yet; the preview is watermarked until they are.

Does PayDocs calculate PAYE and National Insurance?

PayDocs doesn't calculate PAYE, National Insurance or pension contributions. You enter the amounts from your own payroll record, and the arithmetic (totals, net pay, year to date) is done for you.

Can I make payslips for hourly workers?

Yes. Choose hourly pay and enter the hours and rate; add an extra rate for overtime and any other earnings as separate lines. Each line is worked out as hours × rate for you.

Does the payslip show year-to-date totals?

Yes. Enter the totals from the tax year so far before this payment, and PayDocs adds this period to them.

Which payslip templates can I choose from?

Six: Classic, Modern, Compact, Executive, Bold and Minimal. You can switch layout at any point while you create, and the figures stay the same.

What must a UK payslip show?

GOV.UK says a payslip must show pay before and after deductions, the deductions that can change each payday such as tax and National Insurance, and the hours worked if pay depends on time worked. It must be given on or before payday.

Can I use a PayDocs payslip as proof of income?

No. PayDocs lays out figures you provide. It does not verify employment, certify income, or guarantee that anyone will accept the document. Only enter real figures from payroll you are authorised to prepare.

Do I need an account?

No. You can build and preview a payslip without signing up. Accounts will let you save employees and reuse them for the next pay period.
